Overview & Privacy Commitment
At Polar Financial ("the Bank", "we", "us", or "our"), we consider the confidentiality, integrity, and security of your personal and financial information to be a core foundation of our banking operations.
This Privacy Policy explains the categories of personal data we collect when you register an account, utilize our payment channels, apply for credit facilities, or interact with our digital infrastructure, and sets forth your legal rights under international and domestic data protection legislation in United States.
Personal & Financial Information We Collect
In order to establish and service depository and transactional accounts, we collect and process the following information:
- Identity & KYC Data: Legal full name, date of birth, residential address, nationality, government-issued passport/ID document images, tax identification numbers, and biometric verification photographs.
- Contact Information: Verified electronic mail address, mobile telephone number, and physical billing addresses.
- Financial & Transactional Records: Account balances, deposits, internal transfer entries, domestic clearing details, SWIFT wire instructions, beneficiary details, and loan repayment schedules.
- Technical & Device Telemetry: IP addresses, browser user-agents, device fingerprints, login timestamps, and geolocation data collected for fraud prevention and session security.
Legal Basis & Purposes for Processing
We process your personal data strictly under valid legal grounds recognized under banking laws:
Executing wire transfers, issuing payment cards, maintaining ledgers, and servicing account requests.
Satisfying statutory Anti-Money Laundering (AML), Counter-Terrorist Financing (CTF), and KYC reporting mandates in United States.
Detecting anomalous login attempts, unauthorized card usage, and suspicious wire transactions in real time.
Enhancing system stability, upgrading core banking modules, and securing client communications.
International Data Transfers
As a multi-currency institution supporting international settlements, your transaction metadata may be transmitted across national borders to correspondent clearinghouses. All cross-border transmissions are protected via Standard Contractual Clauses (SCCs) and bank-grade cryptographic encapsulation.
Bank-Grade Security & Encryption
Polar Financial enforces defense-in-depth security standards to protect stored and in-transit records:
All database records are encrypted at rest using AES-256 military-grade encryption. Client-server communications are enforced over TLS 1.3 with strict HTTP Strict Transport Security (HSTS). Sensitive card numbers and CVV codes are tokenized and masked by default.
Data Retention & AML Statutory Mandates
In compliance with financial recordkeeping laws in United States, client identity files and transaction ledgers are retained for a minimum statutory period of five (5) to seven (7) years following account closure. Upon expiration of mandatory statutory periods, data is permanently expunged or anonymized.
Your Privacy Rights (GDPR / CCPA)
Depending on your residency, you hold specific enforceable statutory rights regarding your personal data:
- Right of Access: Request a complete copy of all personal records and transaction logs maintained on your behalf.
- Right to Rectification: Request correction of inaccurate contact or identity records.
- Right to Restriction / Portability: Request transmission of your financial records to another financial provider in structured format.
